We are looking for a highly organised and motivated Studio Assistant to support the smooth running of our busy creative studio. This role involves a wide range of responsibilities, from day-to-day office coordination to supporting senior leadership and assisting with basic finance and IT tasks. The ideal candidate will be confident, discreet, detail-oriented, and proactive.

STUDIO ASSISTANT – Maternity Cover

 

Contract: 18 August 2025 – 30 September 2026
Reporting to: Commercial Manager
Location: STUFISH Entertainment Architects, LONDON

 

 

Key Responsibilities

  • Coordinate UK and international travel for the CEO, Partners, and staff (including visas and travel documentation)
  • Maintain calendars and diaries for the CEO and the wider office
  • Provide first-line IT support and liaise with external tech providers
  • Manage renewals for software contracts and oversee general system maintenance
  • Act as the first point of contact at reception—welcoming guests, candidates, and contractors
  • Open and close the studio each day
  • Answer phones, monitor the intercom, handle deliveries and courier bookings
  • Organise team lunches, meetings, workshops, and internal events
  • Keep communal areas (kitchen, meeting rooms, bathrooms) clean, stocked, and presentable
  • Manage office supplies, oversee equipment functionality, and liaise with maintenance providers
  • Maintain digital and physical filing systems, databases, and inventory records
  • Support finance tasks, including posting and sending invoices, logging expenses, and assisting with credit card reconciliation
  • Track staff annual leave and time-off records

What We’re Looking For

  • Previous experience in an administrative, studio, or office coordination role
  • Excellent communication skills—both written and verbal
  • Strong multitasking ability and excellent time management
  • Proficient in Microsoft Office (especially Word, Excel, PowerPoint)
  • Experience with InDesign and QuickBooks is a plus
  • Highly organised, reliable, and detail-oriented
  • Discreet and professional when dealing with confidential information
